OWA for iPhone and OWA for iPad

Steve Chew is a senior product marketing manager in the Exchange technical marketing team focused on Outlook and Outlook Web App.

Today, we are excited to announce the availability of OWA for iPhone and OWA for iPad, which provide even more value to organizations on any Office 365 subscription that includes Exchange Online.  OWA for iPhone and OWA for iPad are mobile apps that offer the same email, calendar and contact functionality you get in Outlook Web App on the browser, but with additional capabilities that are only possible through native integration of the app with mobile devices.

Our goal is to help our customers remain productive anytime, anywhere.  This includes providing a great email experience on smartphones and tablets.  Windows Phone 8 comes with a top-notch native email client in Outlook Mobile, and we offer Exchange ActiveSync (EAS), which is the de-facto industry standard for accessing Exchange email on mobile devices.  In order to better support many of our customers who use their iPhones and iPads for work, we are introducing OWA for iPhone and OWA for iPad, which bring a native Outlook Web App experience to iOS devices!

OWA for iPhone and OWA for iPad can be installed directly from the Apple App Store.  A subscription to Office 365 that includes the latest update of Exchange Online is required to use the app.1  If you aren't already an Office 365 subscriber, you can visit www.office.com to learn more and sign up.

Now let's take a closer look at how OWA for iPhone and OWA for iPad works.

Signing In

After installing OWA from the Apple App store, you will see the OWA icon appear on the home screen of your device.

When you tap the icon, a sign-in screen opens where you can use your Office 365 credentials to connect to OWA.

Navigation

Once signed in, you can switch between Mail, Calendar, People and Options by tapping on the icon in the bottom left corner of the app.

This takes you to a navigation screen with tiles you can tap to reach the desired module.  Your upcoming meetings appear on the Calendar tile automatically!

You can also tap and hold the icon at the bottom left corner of the app to start voice input.2

You then use your voice to tell the app to execute certain commands such as "Open calendar for tomorrow" or "New email to Katie Jordan."

Inbox

When you receive new email, a red badge appears on the OWA icon to indicate the number of unseen new messages.  As soon as you open the app and see the new email messages in the inbox, the badge will disappear from the icon on the home screen.  The badge represents unseen messages, not unread ones.

The inbox in OWA for iPad defaults to a two-column view that shows the list view and reading pane with the folder pane collapsed.  Meanwhile, the inbox in OWA for iPhone defaults to a one-column list view with controls to switch to the folder pane and reading pane.  You'll notice that the layout has been optimized for touch interaction with a user interface designed to respond to gestures like tapping and swiping.

A quick swipe of each list view item reveals a set of actions such as delete, flag, move and mark as read/unread.  You can swipe multiple list view items to take action on all items at once.  Swipe again to deselect an item.

Composing a new email is as simple as clicking the + icon on the top left corner of OWA for iPad and the bottom right corner of OWA for iPhone.

 

Tapping on the spectacles icon on the bottom right corner of OWA for iPad expands the reading pane to full screen to provide a more natural reading experience.

As with Outlook Web App in the browser, you can read and create Information Rights Management (IRM) protected email in OWA for iPhone and OWA for iPad.  Also, out-of-office messages and other MailTips appear in the header of the compose form to notify you when you may want to think twice about sending an email message.

Even apps for Outlook work in OWA for iPhone and OWA for iPad.  As you can see below, the app bar appears in the reading pane, and a simple tap on the Bing Maps app initiates an address search on Bing Maps directly from within OWA

You can initiate a search by tapping on the magnifying glass icon at the bottom of the app.  A search input will appear at the top of the list view in OWA for iPad and at the top of a new screen in OWA for iPhone.  You can then type in a keyword to be searched within the inbox or filtered against People

Finally, OWA for iPhone and OWA for iPad can be used in the absence of an internet connection.  You can read, delete and flag messages, as well as compose new messages or reply to messages in your inbox.  You can also view and edit your calendar and contacts.  This offline capability is especially useful when you need to access your email on a flight with airplane mode turned on or on a train with intermittent network connectivity.

Calendar

The calendar in OWA for iPad is available in day, week, work week and month + agenda views.  You can easily swipe from day-to-day, week-to-week or month-to-month, and you can tap on any calendar item to display a preview of the event details.  The calendar in OWA for iPhone is available in day, month and agenda views.  Categories are supported on calendar items, including the ability to assign categories and create new ones.

Composing a new calendar item or meeting request is as simple as tapping the + icon on the top left corner of OWA for iPad and the bottom right corner of OWA for iPhone.

From the event creation form in OWA for iPad, you have the option of launching the Scheduling Assistant, which gives you the ability to check the schedules of attendees, add attendees to the meeting and use the room finder to add a location to the meeting.  You'll notice that the Scheduling Assistant automatically indicates the free/busy status of each attendee, so you can quickly determine which time slots work best for the group.

You can even add a location to a meeting directly from Bing Maps!

Finally, OWA for iPhone and OWA for iPad provide full delegate access to the calendar, as well as access to multiple and shared calendars.  This is particularly important for supporting executive administrators and assistants.

People

If you navigate to People, you can access your contacts just as you do in Outlook Web App on the browser. 

Your OWA contacts are automatically synced to the native address book on the device.  One of the main advantages of doing this on your iPhone, for example, is that the caller ID function will be able to display the names of your OWA contacts when you receive phone calls from them.  The ability for users to sync OWA contacts to the device can be controlled by IT at the organizational level.

Options

When you navigate to Options, you have additional controls at your disposal.  For example, you can manage automatic replies and out-of-office messages, set your time zone and configure your email signature.  You can also easily prevent OWA contacts from syncing to the device by unchecking the box under "contact sync."

Administrators can manage their users' access to OWA for iPhone and OWA for iPad through the Exchange Administration Center.  They can initiate a remote wipe of the app on any connected device which will delete all email and calendar data contained in the app from the device.3  This is especially useful if the user leaves the organization, and IT wants to remove the email and calendar data from the device without compromising the user's personal data.

Summary

As you can see, OWA brings all of the same benefits of Outlook Web App in the browser to your iPhone and iPad.  In addition, it offers some capabilities only available through native integration with the device:

Q: How do I get OWA on my iPhone or iPad?

A: Simply install "OWA for iPhone" or "OWA for iPad" from the Apple App Store.  Once installed, you will need to sign-in using credentials from an Office 365 subscription that includes the latest update of Exchange Online.

Q: Do I need an Office 365 subscription to use OWA for iPhone and OWA for iPad?

A: Yes, an Office 365 subscription account with the latest update of Exchange Online1 is required to use OWA for iPhone and OWA for iPad.  We are planning to deliver OWA for iPhone and OWA for iPad to Exchange Server 2013 customers at a future date.

Q: How much does OWA for iPhone and OWA for iPad cost?

A: There is no additional charge for Office 365 subscribers.  See below for details of those plans.

Q: What Office 365 subscription plans include OWA for iPhone and OWA for iPad?

A: Any Office 365 subscription plan that includes the latest update of Exchange Online also includes OWA for iPhone and OWA for iPad.  Specifically, these plans are: Office 365 Small Business; Office 365 Small Business Premium; Office 365 Midsize Business; Office 365 Enterprise E1, E3 and E4; Office 365 Kiosk K1 and K2; Office 365 Education A2, A3 and A4; and any Exchange Online plan. There are also Office 365 government plans that include OWA for iPhone and OWA for iPad.

You will need to sign in to your Office 365 subscription on first run to activate OWA.  If you aren't already an Office 365 subscriber, you can visit www.office.com to learn more and sign up.

Q: What are the requirements to use OWA for iPhone and OWA for iPad?

A: There are two key requirements:

First, you need an Office 365 subscription that includes the latest update of Exchange Online1 (see above for list).  After you download OWA onto your iPhone or iPad, just sign in with your Office 365 credentials to get started.Second, you need an iPhone 4S or higher and an iPad 2 or higher.  The device must also be running iOS 6 or higher.

Q: What happens if I cancel my Office 365 subscription but I'm using OWA for iPhone and OWA for iPad?

A: If your Office 365 subscription ends, you will no longer be able to access OWA from your iPhone or iPad.  You can reactivate OWA by renewing your subscription and signing in with a valid user name.

Q: In what languages will you offer OWA for iPhone and OWA for iPad?

A: OWA for iPhone and OWA for iPad are available in the same 60 languages that are supported by Exchange Online for Outlook Web App in the browser.  By default, the language in OWA for iPhone and OWA for iPad will be the same as the language in Outlook Web App in the browser.  Actual time of availability in particular geographies will depend on when the latest update of Exchange Online becomes available in those markets.  If you want to know if OWA for iPhone or OWA for iPad is available in your region, please check with your IT administrator to confirm.

Office Mobile for iPhone now available for Office 365 subscribers

Office Mobile for iPhoneToday we give Office Mobile for the iPhone available free of charge from the Apple app store for Office 365 Home Premium and Office 365 ProPlus subscribers free. Similar to our free Office Mobile for Windows phone , this included with each handset enables the iPhone app, great Office displaying content and on-the-go content editing features.

After signing up to an Office 365 account you can access, view and edit Microsoft Word, Excel, and PowerPoint documents from anywhere. And you can count on Office Mobile, your content to keep, and formatting intact, so that the document still gorgeous, if you get back to your PC or Mac.

When we started this year of Office 365, we have the delivery of regular updates and new features to Office 365 subscribers. Since then we have expanded Skype call and new OneNote Featuresadded. Office Mobile is another excellent example of the value of Office 365, Subscribe to and I can guarantee you, there are many more to come.

So, let us into the fun stuff and look, what can this app!

Because Office Mobile from Microsoft, the formatting and layout remain when you view, edit, or add comments, support for animations, charts, SmartArt graphics, and forms. When you get back to your PC or Mac your document looks like it should be.

Excel on Office Mobile for iPhone

Office Mobile is aimed at people on the move.  We have quick and easy access to your Office content in the cloud on SkyDrive or SkyDrive Pro. If you have on your phone, you can easily find the content, you recent documents on your computer at the viewed. And of course, you can view and edit Office documents by email send.

Office Mobile has been optimized for the small screen of the phone, so you can quickly complete the important things. For example, the Slide Navigator you can scroll quickly through PowerPoint presentations, you help practice presentations on the road during lecture notes. Check Word documents on your phone the resume function will read the exact point in the document where you left off on your computer so that you never miss a beat.

Quick edits can make and share your documents directly from your mobile phone with Office Mobile. When working with others can add comments in Word and Excel documents on your phone make and own. When you are finished, can save directly to SkyDrive or SkyDrive Pro or send as an e-Mail attachment.

Check out the new OneNote for iPad, iPhone and Android

OneNote has long been a favorite place to track what's important in life--jot down ideas, plan a trip, keep a shopping list, check to-dos, and share with family or coworkers.  You told us you wanted OneNote on all your devices, so we delivered OneNote for Windows desktop, Windows store, Windows Phone, iPhone, iPad, Android, and the OneNote Web App all in sync via SkyDrive.

We're committed to giving you a great experience on whatever device you have!  You've also given us feedback on new capabilities you want and we're constantly working to improve it based on your input.

New OneNote Apps for iPad, iPhone and Android.

Today, we are proud to announce major updates of OneNote for iPhone, iPad and Android. We internally call them our version 2 apps, (after all they're twice as good as version 1).  We know you're going to love them. These apps are based on an almost entirely new code base that delivers a full-powered OneNote experience across each device with more reliable sync that "just works."  Our re-engineering investment also enables us to continue making improvements more quickly moving forward. 

So what does this mean for you? Let's check it out...

You've asked for rich editing and a consistent experience across devices - something no one has delivered to date - until now!  With the new OneNote updates all formatting looks exactly the same across devices - this includes text formatting, tables with shading and borders, layout and so on. Hyperlinks and note tags are consistently supported. Even ink from your Windows tablet is shown on iOS and Android now. In short, your notes look the same, all the time, on all devices.  Below is a comparison of what you see in the new OneNote for iPad compared to the previous version - what a difference!

The new versions of OneNote show your notes exactly as you expect with rich formatting.

OneNote for iPad now has the Office Ribbon UI that makes it easy to design and layout your notes exactly as you want.  You have access to the rich formatting you know and love from the other Office apps -- text formatting including font, size color, style, bold, italic, underline, strike through, highlighting and paragraph formatting such as bullets, numbering, indent, and alignment. You can insert and edit tables. You can edit hyperlinks. You can create check lists and tag your notes with a variety of options...it's all there!

The new Ribbon UI on the iPad make it easy to format and edit your notes.

We heard loud and clear that our business users needed the ability to sync work notebooks with Office 365 and SharePoint, and that's now live in the new apps!  As always, the apps sync great with SkyDrive, but we've made that simpler and more reliable, too.  OneNote also now lets multiple people edit a note at the same time and see other peoples changes simultaneously (unlike most note taking apps in which you'll lose what you wrote if anyone else edits the note at the same time).

SkyDrive and SharePoint (on premises, and Office 365 SkyDrive Pro) are supported.

Finally, I'm happy to share that these apps are currently available for free with no limit on the number of notes you can create - another great update from the prior version.  With OneNote, you can take notes while you're offline, sync without limits and collaborate with others -- unlike some note taking applications which charge for these capabilities.

Pat Fox is a senior director of product marketing in the Microsoft Office Division, focused on the Office apps.

We are excited to be adding even more value to our Office 365 subscriptions with the new Office Mobile for iPhone!  Office Mobile now enables iPhone users to access, view, and edit their Office documents on the go, similar to what is already preinstalled today on Windows Phone 8.  You can see the official announcement here.

I wanted to give you a little more detail behind Office Mobile for iPhone, and hopefully answer some questions you might have.

If you aren't already an Office 365 subscriber, you can visit www.office.com to learn more about Office 365 and sign up for a trial.  To get started, let's take a look at the set up experience. 

Now let's take a closer look at some of the capabilities of Office Mobile.

When signing in to Office Mobile for iPhone, you can use either a Microsoft Account associated with your Office 365 subscription or your Organization Account if you are using Office 365 at work.  (See the most frequent questions below for the full list of eligible Office 365 subscriptions).  Don't worry if you have both types of accounts.  You can access all your cloud storage places, for example SkyDrive and SkyDrive Pro, after you sign-in.

From the home page you can easily move between your recent documents, open any document from your cloud storage locations, create a new Office document, and update your settings.  Let's take a look at each area more in depth.

From the recent tab, the last documents you worked on from either your PC (running the new Office) or phone will automatically update here.  This is enabled by Office 365's roaming documents feature so that, whichever Office 365 device you are using, you always have the latest version and Office knows where you left off.

 

On the Open tab you can see all of your connected cloud storage locations and add additional locations, such as SkyDrive Pro or SharePoint sites.

The New tab lets you create a new Word or Excel document from your iPhone and provides some templates to get you started quickly.

Word is optimized for the iPhone Screen making your documents look great.  You can read, edit and create new Word documents.  Word supports Resume Reading so documents you open from SkyDrive and SkyDrive Pro will resume where you left off from your other Office 365 devices.  From the top blue navigation bar you can go back to your documents list, use File Options, Editing Tools, and Viewing Tools.    When you first open a document you scan through the document and quickly make a comment or copy some of the text.

File Options gives you the choice to share via email or save the document to SkyDrive and SkyDrive Pro.

Tap the Editing Tools to enter edit mode and get access to the most common formatting options.

The Viewing Tools helps you navigate the document outline and comments, handy for those long documents when you need to review just a particular section.

With Office Mobile, workbooks, worksheets, graphs, charts, and SmartArt graphics are beautifully scaled to fit your iPhone screen. You can create data-driven charts, utilize the AutoSum features as they report the numbers. Like Word, the Outline View allows you to jump to the tab and table of your choosing. You can read or add comments too.

Tabs at the bottom help you navigate between worksheets.

Viewing Tools let you sort, filter, and find so you can quickly navigate tables and organize the data to find insights.

Once you've filtered and sorted your data you can apply common functions to selected cells using the AutoSum feature.

With that same selected data, you can quickly create a chart.

You can format cells to clearly highlight the most important data.

Preparing for your upcoming presentation is now more convenient with Office Mobile for iPhone.  You can review your slides and edit speaker notes, move and hide slides, and make text edits directly from your phone.  In the navigation bar, the Slide Navigator replaces the Viewing Tools from Word and Excel.

In Portrait mode you can see your slides and notes, edit your speaker notes, and practice your presentation.

In Landscape mode swipe through your presentation.

Tap on the slide you want to edit, move, or hide to bring back the navigation bar and select the Editing Tools.

With the Slide Navigator, you can quickly jump to any slide.

The settings tab from the home page lets you add an identity for comments made on your iPhone and Reset Office.  Resetting Office returns the app to initial state and delete all of you documents and cloud storage locations. 

If you're an Office 365 Home Premium subscriber, you can activate Office on multiple iPhones in your family.  You would first sign in with your Microsoft Account on each device to activate Office Mobile on that device.  Then you will "reset Office" to remove your account information and allow your family member to sign in with their Microsoft Account - so they can access, view, and edit Office documents from their SkyDrive.  This is how Office Mobile will become customized for each person in the family.

You can also access help documentation, see the version number, read the Terms of Service and Privacy policy, and select Improve Office Mobile settings.

We have been getting questions about Office Mobile, so I have aggregated some of the most frequent questions below.  Please let us know in comments if you have others, and we'll try to address the most common.

Q:  How do I get Office Mobile on my phone?

A:  To get Office Mobile for iPhone simply install "Office Mobile for Office 365 subscribers" from the App Store.  If you have a Windows Phone 8, you already have the latest version of Office Mobile preinstalled. 

Q:  Do I need an Office 365 subscription to use Office Mobile for iPhone?

A:  Yes, an Office 365 subscription or trial account is required to use the Office Mobile for iPhone app.  Office Mobile for Windows Phone does not require an Office 365 subscription.

Q:  How much does Office Mobile for the iPhone cost? 

A:  There is no additional charge for Office 365 subscribers whose plans include Office Mobile.   See below for details of those plans.

Q:  What Office 365 subscription plans include Office Mobile?

A:  Any Office 365 subscription plan that includes the full Office desktop applications also include Office Mobile.  Specifically, these plans are:  Office 365 Home Premium, Office 365 Small Business Premium, Office 365 Midsize Business, Office 365 Enterprise E3 and E4, Office 365 Education A3 and A4, Office 365 ProPlus, and Office 365 University.  There are also Office 365 government plans that include Office Mobile. You will need to sign in to your Office 365 subscription on first run to activate Office Mobile.

Additionally, Office 365 trial subscriptions will activate Office Mobile, so if you'd like to try Office 365 and/or Office Mobile, please visit www.Office.com for information.

Q:  What are the requirements to use Office Mobile on the iPhone?

A:  There are two key requirements:

a.  First, you need an Office 365 subscription that includes the desktop Office client (see above for list).  After you download Office Mobile on your iPhone, just sign in with your Office 365 credentials to start your experience. 

b.  Second, you need an iPhone 4, 4S, or 5, or iPod Touch 5th generation. They must be running iOS 6.1 or later. 

Q:  Does Office Mobile work on iPad?  

A:  We built Office Mobile for iPhone to ensure a great Office experience when using a small screen device, similar to Office Mobile for Windows Phone.  If you have an iPad, we recommend using Office Web Apps that provide the best Office experience on a tablet.  We have made great enhancements to Office Web Apps including an improved touch experience for tablet users.

Like all iPhone apps, Office Mobile can work on iPad, either small or "2X" scaled up, but you'll have a more satisfying experience using Office Web Apps. 

Q:  What happens if I cancel my Office 365 subscription but I'm using Office Mobile on my iPhone? 

A:  If your Office 365 subscription ends, you will no longer be able to access the Office Mobile app from your iPhone to view or edit your Office content.  You can reactivate Office Mobile by renewing your subscription and signing in with a valid username.  Your data is only removed from the phone when you uninstall Office Mobile.  Your Office content in SkyDrive will remain accessible via the web.

Q:  Why doesn't this include OneNote and Outlook?

Outlook Mobile is exclusively available on Windows phones.  However, iPhone offers a native Exchange ActiveSync email experience in the email app.

Q:  In what languages or countries will you offer Office Mobile for iPhone?  

A:  Office Mobile for iPhone will be available in 29 languages covering 135 markets.  The international rollout will occur over approximately 4-5 days.
